1. Parties and scope

CoachStamp is provided by Orçun Demir (“we”, “us”).

  • Provider: Orçun Demir
  • Address: [ADDRESS — to be completed before publication]
  • Email: destek@coachstamp.app

If you downloaded the app from the App Store, Apple’s Standard End User License Agreement also applies in addition to these Terms. If you downloaded it from Google Play, Google Play’s own terms apply to your relationship with the store. Apple and Google are not parties to these Terms and have no obligation to provide support or maintenance for CoachStamp.

These Terms do not remove or limit consumer rights that cannot be excluded by law, or your data protection rights.

2. The service

CoachStamp lets personal trainers and pilates instructors (“trainers”) build a weekly lesson schedule, give their students lesson packages (credits), confirm a lesson at the end by scanning the student’s QR code so that one credit is taken, and keep every credit movement in a ledger that the trainer and the student see together. Students see their schedule and remaining credits, confirm published lessons, can ask for a change or a cancellation, and receive reminders.

CoachStamp is not a payment service, a booking marketplace, or a health or training advice service. We do not provide the lessons between trainers and students and are not responsible for their content or quality.

3. Accounts, minimum age and roles

  • Signing in. You sign in to CoachStamp with your Apple or Google account on iOS and with your Google account on Android; there is no separate CoachStamp password. Use accurate information and protect your device and the account you sign in with. You are responsible for activity under your account; tell us promptly if you notice unauthorized use.
  • Minimum age. You must be 16 or older to use CoachStamp. If you are 16 or 17, you may use CoachStamp only with the approval of a parent or legal guardian. You must be 18 or older to buy a subscription as a trainer.
  • Roles. One account can be used as a trainer, a student, or both. A trainer creates a room and shares the invite code or link only with people they teach; the trainer approves or declines every join request. A student can be in more than one trainer’s room.

4. The trainer–student relationship and the trainer’s responsibility

Lesson fees, payment, cancellation and make-up rules, package validity and similar matters are agreed between the trainer and the student. CoachStamp is not a party to that agreement and does not arbitrate between trainers and students.

A trainer is responsible for having a lawful basis for the student information they enter in CoachStamp and use for their business (including student names, lesson and credit records, price notes, decision notes and locations), for informing their students as the law requires, and for their own tax, invoicing, commercial and professional obligations. A trainer should use location names that only identify where lessons take place (for example a studio name), and should not write sensitive information about students, such as health information, in notes or names.

5. Lessons, locations, credits and the credit ledger

  • No payment intermediation. CoachStamp is not a bank, payment institution, electronic money institution or payment intermediary, and does not collect, hold or transfer money between trainers and students. Credits and packages are records only; they have no monetary value against us and cannot be exchanged with us for money. A price note on a package is a reminder for the trainer only and does not prove that a payment was made.
  • Packages and credits. The trainer sets a package’s number of lessons and an optional expiry date. When a lesson uses a credit, it is taken from the package that expires first.
  • The credit ledger. Ledger entries are never deleted or edited; mistakes are corrected with a new, reverse entry. Trainers and students should check that entries are correct; we are not responsible for the accuracy of records entered by users.
  • Lessons and locations. The trainer plans lessons and publishes the week; students see only published lessons. Changes to a published lesson reach the student when the trainer publishes again. The trainer can assign locations they define to lessons; the student sees the location of their lesson.

6. QR check-in

A student’s QR code confirms that a specific lesson was completed. Show it only to your own trainer at the end of that lesson, and do not share screenshots of it. A lesson can use a credit only once. Scanning needs an internet connection on the trainer’s device; without one, no credit is taken. A trainer can complete a lesson by hand, mark it as a no-show (by default this uses one credit; the trainer can turn that off in settings) and undo a wrong scan with a reverse entry. Students are notified when a lesson is completed by hand.

7. Lesson confirmations, change and cancel requests, disputes

  • Confirming lessons. A student can confirm upcoming lessons the trainer has published, one by one or all at once. A lesson awaiting confirmation is still scheduled. If a published lesson is moved to another time, it awaits confirmation again.
  • Change requests. A student can propose another day and time for a lesson, with an optional note of up to 200 characters. A lesson can have only one pending request at a time, and the student can withdraw it until the trainer decides. If the trainer accepts, the lesson moves to the new time immediately; if the trainer declines, they can add an optional note. The student is notified either way. If the lesson is changed in another way in the meantime, the pending request is no longer valid.
  • Cancel requests. A student sends a cancel request for a lesson and the trainer decides. If a request arrives later than the trainer’s cancellation window (12 hours by default) and is approved, the trainer chooses whether a credit is used. The student can withdraw the request until the trainer decides. The decision is final: a lesson cancelled by mistake is added again, and a credit used for a late cancellation can be returned with a reverse entry.
  • Disputes. A student can dispute a ledger entry within 7 days; the trainer accepts the dispute or declines it with a note. The dispute and its outcome stay visible in the ledger.

These requests and disputes are decided by the trainer, not by CoachStamp.

8. Trainer subscription

Trainers use CoachStamp with an auto-renewable subscription. Use by students is free.

  • Plans. Starter (up to 10 active students), Pro (up to 25 active students) and Studio (up to 60 active students), each with a monthly or yearly period. In Turkish the plans are called Başlangıç, Pro and Stüdyo. Only active students count; students waiting for approval, on hold or archived do not.
  • Price and payment. The current price, currency, period and any trial terms are shown before purchase in the app and on the App Store or Google Play confirmation screen. Purchases are made through the App Store or Google Play, and the store charges your Apple or Google account when you confirm the purchase (or when a free trial ends).
  • Free trial. Where offered and if you are eligible, new subscribers may receive a 14-day free trial. A trial applies only when it is clearly shown on the purchase screen. Unless you cancel at least 24 hours before the trial ends, you will be charged for the plan you chose.
  • Auto-renewal. The subscription renews automatically for the same period unless cancelled at least 24 hours before the end of the current period, and the renewal is charged within the 24 hours before the period ends. Price changes are notified in advance under the store’s rules.
  • Managing and cancelling. Manage or cancel your subscription in the Subscriptions section of your Apple account on iOS, or in Google Play Subscriptions on Android. Cancellation takes effect at the end of the current period, and you keep access until then. Deleting the app or your CoachStamp account does not cancel a subscription.
  • Refunds. Because purchases are made through the App Store or Google Play, refund requests are handled by Apple and Google under their own policies; we cannot refund store payments directly. Use reportaproblem.apple.com for Apple and the Google Play refund policies page for Google Play. Your rights under mandatory consumer law are not affected.
  • Restoring. You can restore a subscription with the restore option in the app, using the store account that made the purchase.
  • Going over your plan’s limit. If you move to a plan with fewer students, or your active students exceed your plan’s limit, everything keeps working for 7 days. After 7 days, changes such as lesson planning and credit operations are not possible until you bring the number of active students within the limit by choosing who stays active, or upgrade your plan; you can still view your records. Students you do not choose are put on hold, with their history and balance kept.
  • When a subscription ends. If the subscription ends, the trainer account becomes read-only; you and your students can still see the plan and credits, and no data is deleted. If you subscribe again, you continue where you left off.

9. Acceptable use

Do not use CoachStamp:

  • for unlawful purposes or in a way that infringes other people’s rights;
  • to enter other people’s personal data without a lawful basis, or to involve people under 16 in the service;
  • to share QR codes, use them via screenshots, or create false lesson confirmations or credit entries;
  • to use someone else’s account or impersonate another person;
  • to try to bypass security measures, gain unauthorized access, guess invite codes, or overload the service with automated requests;
  • to copy, modify or reverse engineer the app, except where the law expressly allows it;
  • to write insults, harassment, threats or other people’s sensitive information in notes or names.

10. Availability, notifications and changes to the service

We provide the service with reasonable care, but we do not guarantee that it will be uninterrupted or error-free. Maintenance, updates and changes to operating systems, cloud services and app stores may affect some features, and you may need to update the app to keep using the service.

Reminders and notifications depend on device permissions, connectivity and service availability; a three-hour reminder that would fall within quiet hours is not sent. Do not rely on notifications as the only record of lessons and credits; the current state is always shown in the app.

We may improve, change or remove features. We will give reasonable advance notice of changes that significantly reduce what a paid subscription includes. We recommend keeping a copy of important records.

11. Intellectual property and your content

The rights in the CoachStamp app, website, name, logo and design belong to us. For as long as these Terms apply, we give you a limited, non-exclusive and non-transferable right to use CoachStamp for personal and professional purposes.

Content you enter in CoachStamp (names, notes, location names and similar) remains yours. You give us the right to store and process it and to show it to the trainer or student in the same room, so that we can provide the service.

12. Limitation of liability

Our liability for intent or gross negligence, and for harm to life, body or health, is not limited; mandatory consumer law is not affected.

Within those limits and to the extent permitted by law, we are not liable for lesson, payment, cancellation or credit disputes between trainers and students, for the accuracy of records entered by users, for delayed or undelivered notifications, for outages of third-party services such as Apple, Google, Adapty, Supabase and Cloudflare, or for indirect losses such as lost profit or lost business. Our total liability for slight negligence is limited to the amount you paid for a CoachStamp subscription in the 12 months before the event that caused the damage.

13. Termination and account deletion

You can stop using CoachStamp and delete your account at any time: trainers go to Settings → Delete account, students to Profile → Delete account. Deletion without the app, and the details of what is deleted or kept, are on the Delete your account and data page.

  • When a trainer deletes their account, upcoming lessons are cancelled, students are notified, the room stays read-only for 30 days and then all its data is deleted. A trainer should agree with their students about remaining credits beforehand.
  • When a student deletes their account, the deletion takes effect immediately: their name is replaced with “Deleted student” and the notes they wrote on requests and disputes are deleted; their lesson and credit history stays with the trainer as the trainer’s business record, without the student’s identity.
  • Deleting an account does not cancel an App Store or Google Play subscription.

If you materially breach these Terms, use the service unlawfully, or where it is necessary to protect the security of the service or other users, we may restrict, suspend or end your access in a proportionate way; where appropriate and lawful, we will tell you why and how to object. If we decide to discontinue the service entirely, we will announce it reasonably in advance and give you the opportunity to request a copy of your records.

14. Governing law and disputes

These Terms are governed by the laws of the Republic of Türkiye. If you have a problem, please write to us first at destek@coachstamp.app; most issues can be resolved this way.

If you are a consumer, your rights under Turkish Consumer Protection Law No. 6502 are not affected: within the monetary limits set each year you may apply to the Consumer Arbitration Committee (Tüketici Hakem Heyeti) where you live or where the transaction took place, and above those limits to the Consumer Courts (Tüketici Mahkemeleri). Consumers living in the European Union or the United Kingdom keep the protection of the mandatory consumer laws of their country and their right to bring proceedings in its courts.

For all other disputes, the courts and enforcement offices of İstanbul have jurisdiction.

15. Changes to these Terms and general provisions

The version and the date of the last update are shown at the top of this page. We may update these Terms; for material changes we will tell you in the app and ask you to accept the current version again. If you do not accept, you can stop using the service and delete your account.

If a provision of these Terms is held invalid, the other provisions remain valid. Not exercising a right does not mean we have waived it. If the Turkish and English versions of these Terms differ, the Turkish version prevails, without prejudice to mandatory consumer law.
